Marielyst Ny Camping’s Personal Data Policy

The relevant data protection rules that apply to our processing of personal data are set out in the General Data Protection Regulation (Regulation (EU) 2016/679 of 27 April 2016) and the Data Protection Act (Act No. 502 of 23 May 2018).

Marielyst Ny Camping’s personal data policy concerns our processing of personal data as the data controller. This includes, among other things, the processing of our guests’ personal data, the recruitment of new employees, and marketing activities.

Whose personal data do we process?

Marielyst Ny Camping processes personal data about our guests, suppliers, employees, and recipients of marketing information in accordance with the data protection rules. The personal data is processed only to the extent necessary for the specific purposes, and where there is a lawful basis for doing so.

Which personal data is processed?

Marielyst Ny Camping processes ordinary personal data. With regard to our employees, we also process CPR numbers and, in certain cases, sensitive data.

“Processing” of personal data covers any form of handling of personal data, e.g. collection, recording, organisation, structuring, storage, adaptation, alteration, retrieval, use, disclosure and matching/linking.

In most cases, it will be necessary for us to process ordinary personal data such as name, address, telephone number, driving licence number, passport number, the registration number of a caravan, and email address. This processing is carried out so that we can communicate with our guests, provide our services, invoice, and ensure quality and verify correctness.

Where does the information come from?

The information is collected directly from our guests, employees, and business partners.

The information may be shared with external suppliers, including data processors, who assist us in operating the business. Any exchange of information is, however, conditional on the collection, registration, and disclosure being necessary in the specific case and on there being a lawful basis for doing so.

Internally, only those of our employees who have a work-related need to access the personal data are granted access. The data is not transferred to countries outside the EU/EEA unless this is done in relation to a specific guest. In such cases, the transfer will take place in accordance with Article 49(1)(b–e).

Which processing activities do we carry out?

Marielyst Ny Camping collects and processes personal data on the basis of the following legal grounds:

In connection with the provision of our services, we process personal data about guests on the basis of Article 6(1)(b) of the General Data Protection Regulation. This is because the processing is necessary to enter into or perform the agreement regarding reservation, booking, and delivery of our services (accommodation, rental of cabins, etc.).

We process ordinary personal data about participants in our events, including information such as name, email address, and telephone number. The processing is carried out on the basis of Article 6(1)(b) of the General Data Protection Regulation, for the purpose of registering the participants, administering the event, and sending relevant material, etc. The information is obtained from the participants.

In general, we process personal data when we are legally obliged to do so, e.g. in connection with issuing an invoice. We process CPR numbers relating to our employees on the basis of section 11(2) of the Danish Data Protection Act, and sensitive data such as health information pursuant to Article 9 of the General Data Protection Regulation.

When is the data deleted?

Marielyst Ny Camping deletes or anonymises personal data when there is no longer a work-related need to process it.

Specifically, it can be stated that:

• Information about our guests is deleted or anonymised no later than 5 years after the last visit.
• Our personnel files are deleted no later than 5 years after the employment relationship has ended.
• Information about participants in our events is deleted immediately after the event has been held.
• Data related to the sending of newsletters is deleted immediately upon unsubscription.
• Invoice data is stored for the financial year plus 5 years, as required under the Bookkeeping Act.

What are your rights?

Under the data protection rules, you have a number of rights in relation to our processing of information about you.

You can therefore always contact us if you wish to exercise your rights. You have the following rights:

• Ret til at se oplysninger (indsigtsret). Du har ret til at få indsigt i de oplysninger, som vi behandler om dig, samt en række yderligere oplysninger.
• Ret til berigtigelse (rettelse). Du har ret til at få urigtige eller mangelfulde oplysninger om dig selv rettet.

• Ret til indsigelse. Du har i visse tilfælde ret til at gøre indsigelse mod vores ellers lovlige behandling af dine personoplysninger.
• Retten til at trække samtykke tilbage. Hvis vores behandling af dine personoplysninger er baseret på dit samtykke, har du til enhver tid ret til at trække dit samtykke tilbage. Dette kan du gøre ved at kontakte os.

Hvis du vælger at trække dit samtykke tilbage, vil din tilbagekaldelse ikke have betydning for lovligheden af behandlingen foretaget inden din tilbagekaldelse. Ved en tilbagetrækning vil behandlingen af dine personoplysninger ophøre, og dine personoplysninger vil blive slettet, medmindre der fx på grund af dokumentationshensyn er saglig grundlag til fortsat opbevaring.

• Right to data portability. This right means that you are entitled to receive the personal data about yourself that you have provided to us in a structured, commonly used, and machine-readable format. Where technically feasible, you also have the right to have your personal data transferred to another data controller.
• You always have the right to lodge a complaint with the Danish Data Protection Agency.

How do we protect your data?

We always process your personal data securely and confidentially in accordance with the applicable data protection legislation.

We have implemented technical and organisational security measures. Examples include backups of IT systems that process personal data, access restrictions with individual codes, data processing agreements, and internal training. We also carry out ongoing spot checks to continuously ensure that our processing of personal data complies with the rules.

In addition, we store the information on computers with restricted access. The computers are located in controlled facilities, and our security measures are continuously monitored. We cannot guarantee complete security for data transmissions via the internet. This means there may be a risk that others unlawfully gain access to the information when it is sent and stored electronically. You therefore provide your personal data at your own risk.

Complaint to the Danish Data Protection Agency
